When to send the seating chart to your venue
The venue's deadline is the one that matters. Ask for it early, send a clean list on time, and keep the posters for after.

Venues and caterers ask for two things before a wedding: a final head count, and a list of who sits at which table. They ask at different times, and the second is the one couples tend to leave late. Missing it is rarely a disaster, but it makes the last week harder than it needs to be.
The chart below is a real 100-guest solve. We pasted a made-up list into Tablecharm, tagged the couple and four attendants for the head table, accepted the room plan and solved. From that one chart the app exports a compact list for the venue, which came to two Letter pages, a full escort list and a CSV.

Ask for the deadline first
Every venue and caterer has its own schedule, and it is usually in the contract. Look for two dates: when the final guest count is due, and when they want the table assignments. The count usually comes first, because it sets the food order. The table list often comes a little later, but not always.
If the contract does not say, ask. Then write both dates on your calendar and count back. The timing guide has a schedule that works backward from the wedding day.
What the venue actually needs
The venue does not need your beautiful poster. It needs a plain, accurate list: every guest's name and table number, easy to scan. Many also want a count per table and any meal choices or allergies, which usually live in your RSVP records rather than the seating chart.

Send it clean
Before you send anything, check three things. The couple's names at the top are yours, not a sample. Every guest has a real name, not "Iris's Guest". And the chart has been solved since your last change.

After you send it
Changes after the deadline happen. A guest cancels, someone adds a partner. Tell the venue promptly and send a fresh list rather than a note, so there is only ever one current version. In Tablecharm, remove or add the guest and solve again; every solve after the first moves as few guests as it can and tells you what moved, so the list you send changes only where it must.

The floor plan question
Some venues ask for a floor plan as well as a list. Up to eight tables, Tablecharm exports a plan with the names at each table. Larger rooms export the real layout with a number on every table, and the names stay on the seating poster. Check that Table 1 on the venue's plan is the same table as Table 1 on your list before the posters go to print.

When does the venue need the seating chart?
It varies by venue, and it is usually in the contract. Often it is a week or two before the wedding, after the final count. Ask early.
What should I send the caterer?
A plain list of every guest's name and table number, plus meal choices and allergies if they asked for them. Not the decorative poster.
Can I change the seating chart after sending it?
Yes, but tell the venue promptly and send a complete new list, so they always work from one version.
Do I send the venue the same file I print for guests?
Usually not. Guests get the poster or escort cards; the venue gets a plain list of names and tables. Both should come from the same finished chart, so they agree.
